Creating a Booking

Now you have completed your setup, you are ready to start taking bookings.

Create a booking:

  • First you need to select Bookings > Add Booking.
  • Select the Venue from the drop down list.
  • You will have the option to enter a new contact or select an existing one from the drop-down. When entering a new contact, simply enter the name and select 'Create new contact'. You will then be given the option to enter further details (contact details, customer type). Once the record has been saved, this contact will be added to, and can be viewed, under the CRM menu option.

  • Choose if you wish the customer to receive SMS and/or email confirmation by ticking/unticking the relevant check box. Customers will be reminded about their booking at 9am the day before their booking and be informed if the booking is cancelled.
  • Enter the date, start time of the booking, and the duration of that booking - the fee will automatically be calculated.
  • If you wish to enter a block or recurring booking click on the advanced arrow and select the recurrence option and the end date. Click on create events.

  • You are able to edit the status from provisional, to confirmed or cancelled, by clicking on the drop down.
  • There is also the option to include the purpose of booking, upload relevant documents such as a signed agreement and add any additional details you wish to include.
  • You can also tick to show if the booking is paid.
  • Once you are happy with the details entered, select 'Save booking'.

Edit a booking:

  • To edit any details of the booking, including the status, go to Bookings > Select 'More' next to the booking and click 'Edit'. This will take you to a screen similar to that of adding a booking, here you will be able to change all of the details originally entered.
  • If you would like to delete a booking follow the same steps you would to edit a booking, but this time select 'Delete' from the drop down.
